Tracking Lot Numbers and Expiration Dates
Effectively tracking lot numbers and expiration dates ensures product quality and accurate fulfillment. In the system, lot numbers and expiration dates are strictly associated with a product and its specific bin location.
⚠️ Best Practices for Bin Storage
- Isolate Lots and Dates: It is highly recommended not to store the same SKU in a single bin if the items possess different lot numbers or expiration dates. Keep distinct batches in separate bins to maintain accurate tracking.
- Automatic FEFO Routing: When you add an expiration date to a bin, the system automatically updates that bin's priority to FEFO (First Expired, First Out). This ensures that older inventory is allocated for fulfillment before newer stock.
You can assign lot numbers and expiration dates to your inventory using three primary methods:
1. Bulk Receiving
When processing large inbound shipments, the Bulk Receiving tool allows you to assign these values efficiently.
- You can manually enter the LOT # and EXP. DATE for each SKU row alongside the received quantity and destination bin.
- Alternatively, you can use the "Upload file" drag-and-drop feature to import this data in bulk.
2. Edit Bin Info
For existing inventory or manual adjustments, you can update this information directly at the bin level.
- Open the Edit Bin Info menu for the target bin.
- Input the alphanumeric sequence into the LOT NUMBER field.
- Select the appropriate date using the EXPIRATION DATE calendar picker and click Save.
3. Receiving Transactions
Lot numbers and expiration dates can also be captured in real-time while processing standard receiving transactions on the dock.
Visibility and SearchOnce lot and expiration data is logged in the system, it can be leveraged for reporting and fulfillment:
- Inventory Search: You can search inventory by searching for specific lot numbers or expiration dates to locate exact products.
- Order Pages: Lot and expiration data is visible directly on the individual order pages for quick reference.
- Physical Documents: Currently, lot numbers and expiration dates are printed only on Picklists to assist warehouse staff during fulfillment; they do not appear on packing slips.
- Order Export: Lot number and expiration date are now included in the orders export with item detail.
